Patiently: Medical AI Notes

Your privacy is the foundation of Patiently. This policy explains how we collect, store, process, and protect your data — and how you stay in control.

Patiently is a cloud-based app that uses AI to help you capture and understand your medical visits. Your data is yours, stored securely in the cloud, and you control who has access to it.

1. Account & Sign-In

To enable features like cloud backup, cross-device sync, and visit sharing, Patiently requires you to sign in with Apple or Google. When you sign in, we collect basic account information such as your email address and display name. This information is used to identify your account and enable collaboration features.

Your sign-in is handled securely through Apple or Google — we do not see or store your password.

2. Information You Provide & How It's Stored

Your visit data is stored securely in the cloud.

This includes:

Audio Recordings
Transcripts, Summaries, and AI Analysis
Family Member Information
Chat History

Your data is stored using Google Firebase, a secure cloud platform with encryption at rest and in transit.

Note: Because your data is stored in the cloud, it persists even if you delete the app. To permanently delete your data, use the account deletion option in the app.

3. How Your Recordings Are Processed

When you record or import a medical visit, we use AI to transcribe your recording and generate summaries, follow-up questions, and health topics.

AI is also used for other features:

For You: We use AI to find health articles relevant to topics from your visits.
Chat: When you ask questions about your visits, AI generates responses based on your summaries.

We do the heavy lifting of selecting the best AI model for each task on your behalf, optimizing for quality and reliability. This may include cloud-based services or on-device processing, depending on what works best.

As of January 2026, we use AI services from Google (Gemini), OpenAI, and Perplexity.

Your audio and transcripts are sent to AI services solely for processing — they are not used to train AI models or shared for other purposes. Some requests pass through our secure relay server to protect our API keys; this server does not store your data.

4. Sharing Visits with Others

You can share visits with family members, caregivers, or others by entering their email address. Shared users can view the visit's transcript, summary, and audio in their own Patiently app.

You control who has access. You can revoke access at any time, and the visit will no longer appear for that person.

5. How We Protect Your Data

We take the security of your health information seriously and follow industry best practices for protecting sensitive data.

Your data is protected with multiple layers of security:

Encryption: All data is encrypted in transit and at rest.
Secure sign-in: Sign-in with Apple or Google uses industry-standard authentication.
Device authentication: You can require Face ID or Touch ID to open the app, adding an extra layer of protection on your device.
Access controls: Only you and people you explicitly share with can access your visits.
No advertising: We do not sell or share your data with advertisers or ad networks.

6. Your Control and Data Deletion

You are in full control of your data:

Delete visits: You can delete any visit from within the app. This permanently removes the audio, transcript, and all associated data.
Sign out: When you sign out, your data remains safely stored in the cloud and will be available when you sign back in.
Delete your account: You can delete your entire account from the app settings. This removes all your data from our servers.

7. Changes to This Privacy Policy

We may update this policy from time to time. If we make significant changes, we will notify you through the app or other means. We encourage you to review this policy periodically.
